If there are two words that best describe what a company needs to survive in these challenging economic times, they are streamlining and diligence. Whereas two or three years ago a company could afford to pay a person to “handle invoicing” or “do collections”, today that luxury is gone. So too has vanished an organization’s ability to experience a stock shortage only to say “when it comes in, it comes in.”

In Tough Times, Smart Businesses Focus on:

  • Greater visibility into potential opportunities
  • Greater visibility into potential problems
  • Automation of manual tasks
  • Reduction of time spent on manual tasks, like looking for anomalies

Streamlining
Today, every minute of every person’s workday matters – and now is the time to take a critical look at the tasks that each person performs and ask yourself “Could that task be automated, and thus free-up that person’s time for more productive activities?” If, for example, you have people on staff whose responsibilities include generating and delivering invoices or statements, issuing POs for vendors, or tracking down late deliveries, consider an investment in software that could automate these tasks.

Sage KnowledgeSync Logo

Sage KnowledgeSync, an Alerts and Workflow solution, is just that kind of software. KnowledgeSync is a “monitor & response” technology whose purpose it is to monitor the changing conditions within your business and automatically execute the appropriate response.

Examples of Streamlining:

  • When a new order is placed, automatically generate an order confirmation/invoice in PDF format and email that document to the client.
  • If a client is more than 90 days past due, automatically send them a dunning notice, attach their statement, and put them on credit hold.
  • Every Monday morning at 9 AM, auto-generate a Stock Status report, an Open Receivables report, and a Check Reconciliation report and distribute them within your company.

But streamlining your staff’s time and activities through the automation of repetitive tasks is only half of your battle in a challenging economy. The other half is diligence – or, as Mark Twain said, “Put all your eggs in one basket and watch that basket.”

Diligence
“Watching” your business – whether it’s monitoring receivables that are overdue for payment, taking advantage of early-pay discounts from your suppliers, or identifying stock items that have had excessive price increases – is more important today than ever before. The difference between $100,000 in overdue receivables and $10,000 in overdue receivables can be the determining factor in a company’s survival.

Examples of Diligence:

  • If a supplier raises an item’s cost by more than 10%, automatically notify the purchasing manager.
  • If a part that is required for a job will not arrive in time, auto-notify the service technician on their cell phone.
  • If a project has used up over 50% of its budget but is not yet 50% complete, alert the project manager.
  • If a client’s service contract is about to expire, automatically notify both the client and their sales rep.
  • If an AP invoice has an early payment discount, auto-notify the CFO before the discount expires.
  • If a repeat client’s monthly purchases drop by at least 20% from the previous month, auto-generate a sales analysis report for that client, auto-deliver that report to the corresponding account manager, and auto-schedule a follow-up phone call between the sales rep and that customer.

And that’s where KnowledgeSync again enters the picture. With KnowledgeSync, monitoring your business for “exceptions” – those day-to-day anomalies that can collectively determine the viability of your organization – is not left to chance.

Sage KnowledgeSync consists of four components:
  -- Data Mining (Business Intelligence)
  -- Alerts
-- Form, Document, & Report Distribution
  -- Workflow

Use it to monitor business data and . . .   Such as...
  Trigger Alerts page a technician
Generate & Deliver Forms send a client an invoice
Trigger & Distribute Reports send a forecast report to a manager
Trigger Task Creation schedule a follow-up phone call
Integrate Application Data create an order from a closed sale
Process Incoming Email create a support ticket

KnowledgeSync comes pre-configured to monitor hundreds of common business conditions, and gives you the ability specify an unlimited number of additional “trigger points”. When these conditions do occur, KnowledgeSync sends alerts to the appropriate people via any device – cell phone, pager, email, fax, or dynamic dashboard. And beyond sending alerts, KnowledgeSync triggers the creation of intelligent workflow – follow-up actions that ensure that you respond in the manner most appropriate to the business event that occurred.
